1. Information We Collect

When you create an account, we collect your organization name, email address, and password (stored as a cryptographic hash). When you use our voice AI services, we process audio data in real-time to provide emotion analysis and conversation handling. We do not permanently store raw audio unless you explicitly enable call recording.

2. How We Use Your Information

We use your information to: provide and maintain the RealSpeak platform, process voice calls through our AI agents, deliver real-time prosody and emotion analysis, send transactional emails about your account, and improve our services. We do not sell your personal information to third parties.

3. Voice Data Processing

Audio data is processed in real-time through our voice proxy and Hume EVI engine. Prosody analysis (48-dimension emotion detection) is performed on each utterance. Transcripts may be stored for your call history. Audio streams are encrypted in transit and are not retained after processing unless call recording is enabled by you.

4. Data Security

We implement industry-standard security measures including: encrypted data transmission (TLS), cryptographic password hashing (scrypt), SHA-256 hashed API keys, and HMAC-SHA256 signed webhook deliveries. Your data is hosted on secure infrastructure within the United States.

5. Third-Party Services

We use the following third-party services to operate: Hume AI (voice and emotion processing), Telnyx (telephony), Stripe (payments), and Auth0 (authentication). Each operates under their own privacy policies. We also use analytics tools to understand how our platform is used.

6. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us at privacy@realspeak.ai. You may delete your account and all associated data through your dashboard settings.

7. Cookies and Tracking

We use the following types of cookies:

  • Essential Cookies — Required for authentication and session management. These cannot be disabled as the platform will not function without them.
  • Analytics Cookies — Used to understand how visitors interact with our site (e.g., Google Analytics). These help us measure page views, session duration, and feature usage to improve the platform.
  • Advertising Cookies — Used by Facebook Pixel and similar tools for conversion tracking and measuring ad effectiveness. These cookies help us understand which ads lead to sign-ups and how users engage after clicking an ad.

9. Data Retention

Voice data is processed in real-time and is not retained after the call ends unless you have explicitly enabled call recording for your agent. Account data (organization name, email, agent configurations) is retained while your account is active. Upon account deletion, all personal data is permanently deleted within 30 days. Aggregated analytics data (call volumes, emotion trends, usage metrics) may be retained for up to 24 months to improve our services.

10. GDPR Rights (EU/EEA Users)

If you are located in the European Union or European Economic Area, the following applies:

  • Legitimate Interest — For service delivery, platform security, and fraud prevention.

  • Right to Opt-Out of Sale — We do NOT sell your personal information to third parties.
  • Right to Non-Discrimination — We will not discriminate against you for exercising any of your CCPA rights.

To exercise any of these rights, email us at privacy@realspeak.ai. We will verify your identity and respond to your request within 45 days. You may also designate an authorized agent to make a request on your behalf.

12. Advertising and Analytics

We use Facebook Pixel, Google Analytics, and similar tools to measure the effectiveness of our advertising campaigns and understand how visitors use our site. These tools may place cookies on your device to track conversions (e.g., when an ad click leads to a sign-up) and aggregate site usage data.

We use UTM parameters in our marketing links to track which campaigns drive traffic and sign-ups. This data is used solely for campaign performance measurement and does not include personally identifiable information.

You can opt out of advertising cookies via the cookie consent banner shown on your first visit, through your browser's cookie settings, or by using tools such as the Digital Advertising Alliance opt-out page. No personal health information is ever used for ad targeting.

13. International Data Transfers

Your data is processed and stored in the United States. If you are accessing our services from the European Union, European Economic Area, or other regions with data protection laws, please note that your data will be transferred to the United States. For EU/EEA users, such transfers are made under Standard Contractual Clauses (SCCs) approved by the European Commission or equivalent legal safeguards to ensure your data is protected.

14. Children's Privacy

Our services are not directed at children under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have inadvertently collected personal data from a child under 16, we will take steps to delete such information promptly. We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
